What a job actually costs

  • A menu job → the fixed price you saw before you booked, plus materials at cost + 20%. Nothing else.
  • A job that isn't on the menu, done within the first 30 minutes → just the £95 call-out (plus any materials).
  • A 90-minute job off the menu → £95 + two 30-minute blocks at the trade rate (a partial block rounds up). Inner London adds £20 per attendance; a same-day emergency adds £45.
  • You always know the floor — £95 — and the ceiling: time-and-materials jobs are capped at an approval limit you set (£250 by default, anywhere from £50 to £2,000). Every block is itemised on your weekly invoice.

A price you approved, every time

Every menu price is fixed for the scope described. If our contractor arrives and finds the job is materially different — hidden damage, a different fault, extra works — we stop, tell you what we found, and send a fixed quote before any further chargeable work. A quote at or under your approval ceiling is approved on the spot; over it, you get a one-tap approve or decline. An approved quote's return visit absorbs the original call-out, and if you decline you pay the call-out only. You will never receive a number you didn't approve.

What is the AI triage bot?

It's a branded maintenance portal we create for your agency. Your tenants use it to report issues, our AI diagnoses the problem, collects photos, and either walks the tenant through a fix or sends you a complete maintenance request. You share the link with your tenants via welcome packs, your website, or email signatures. It's free to access and we only charge £15 when the bot resolves an issue without a contractor.

Can tenants use the bot in other languages?

Yes. The bot detects the tenant's language and responds accordingly. It supports all major languages including Polish, Romanian, Portuguese, Arabic, Bengali, and Urdu.

Do tenants see ClearKey branding?

The bot is branded with your agency name, logo, and colours. Tenants see your brand, not ours. ClearKey is only mentioned in a small 'Powered by' footer.

How does the £15 resolution fee work?

We only charge £15 when our AI triage bot successfully resolves a tenant's issue without needing a contractor visit. For example, the bot walks a tenant through resetting a tripped circuit breaker or topping up boiler pressure. The tenant confirms the issue is fixed, and the £15 appears as a line item on your weekly ClearKey invoice as 'Remote Diagnostic & Resolution'. You can pass this through to your landlord at whatever markup your management agreement allows. If the bot can't resolve the issue and a contractor is needed, there's no resolution fee, just the normal job charges.

What counts as a 'resolution'?

A resolution means the tenant confirmed the issue was fixed after following the bot's guidance. The full conversation is logged, including what the bot asked, what the tenant tried, and their explicit confirmation that it's working. If a tenant says it's fixed but the issue returns, they simply report it again and we'll dispatch a contractor. There's no double-charging.

Can I see what the bot discussed with my tenant?

Yes. Every bot conversation is fully logged. On your portal, click any Tenant Request to see the complete conversation, including what the tenant reported, what the bot asked, what photos were submitted, and what was tried. This log also serves as evidence if there's ever a dispute about what was reported or when.

Can I instruct jobs by email?

Yes. Click Send a job instruction to open a pre-filled email template, fill in the details, and hit send. You'll get an automatic acknowledgement with the job reference as soon as it's logged. You can also submit jobs through your portal or call 020 8044 8801.

Is there a contract or minimum term?

No minimum term and no lock-in — stop instructing us whenever you like. You agree to our standard terms when you sign up. Before your first job you set up a GoCardless Direct Debit mandate (about two minutes), and every job then lands on one weekly invoice on 7-day terms. New agencies run a five-job pilot — your first five jobs or £750 of charges, whichever comes first — and then simply carry on. We earn your business every week.

What if I already have my own contractors?

Use our Managed Service. We'll coordinate your contractors for £15 per job and produce the same professional job completion reports. If your contractor hasn't accepted within 20 minutes (5 minutes for a same-day emergency), the job cascades to our vetted bench so nothing falls through the cracks.

How quickly can you attend?

Same-day attendance is available for emergencies, and routine work is booked for the earliest slot a contractor has free. Both depend on contractor availability for the trade and area, so the appointment is confirmed when the job is accepted rather than promised in advance.

London-wide. Coverage depends on contractor availability in your area, so get in touch and we'll confirm.

What is my approval ceiling?

The most a time-and-materials job can reach before we hold it for your approval. It's £250 by default and you can set it anywhere from £50 to £2,000 in your portal. If a job would exceed it, we hold it and ask you first. Decline, and your charge is capped at your ceiling — you never pay over it.

What's on the fixed-price menu?

Twenty-six of the most common repairs — taps, toilets, blockages, leaking traps, radiator valves, light fittings, sockets, alarm heads, lock changes, door easing, window restrictors, patch-and-paint and more — each at a fixed price between £95 and £189, call-out included. You pick the job in your portal and the price is locked. Materials are extra at receipted cost + 20%.

Can I re-bill my landlord?

Yes. Set your margin once in your account — and whether it applies to materials — then generate a landlord invoice from any completed job on your statement. It carries your branding, your VAT details and your own invoice numbering, and shows only your figures. ClearKey's charge and your margin never appear on it.
